Appointments, Cancellation and No Show Policies
FACET Dermatology is committed to providing timely, high-quality care. Because appointment time is reserved specifically for you, we ask that you review the following policies carefully.
Medical Appointments (OHIP-Covered)
Medical dermatology appointments are in very high demand and are booked for a specific patient and medical concern.
- Appointments are non-transferable.
- If you are unable to attend your appointment, please notify the clinic as soon as possible.
- A minimum of two business days’ notice is required for cancellations or rescheduling.
Late Cancellations and No-Shows
- If you cancel with less than two business days’ notice or do not attend your appointment, you may be discharged back to your referring physician.
- If applicable, you will be offered the next available appointment for the condition listed on your referral.
- If you do not attend your initial medical appointment, a $75 no-show fee must be paid before another appointment will be booked.
Language Support
If you are not comfortable discussing your medical concerns in English, please arrange for a translator to attend your appointment.
Cosmetic and Elective (Out-of-Pocket) Appointments
Cosmetic and elective services include treatments and procedures that are not covered by OHIP and are paid for directly by the patient. These services are scheduled with dedicated time, equipment, and clinical staff.
- Appointments and treatments are non-transferable to other individuals or treatment areas.
- A deposit is required for all cosmetic and elective treatment bookings.
- A minimum of two business days’ notice is required for cancellations or rescheduling.
Late Cancellations and No-Shows
- If you cancel with less than two business days’ notice or do not attend your appointment, your deposit will be forfeited.
- For pre-paid treatments, late cancellation or failure to attend will result in forfeiture of the treatment.
- Pre-paid treatments are non-refundable, non-transferable, and expire twelve months from the date of purchase.
Clinical Trial Appointments
Clinical trial appointments are scheduled as part of approved research studies and are subject to specific study protocols and sponsor requirements.
- Appointment times are coordinated in advance with research staff and investigators.
- Participants are expected to attend all scheduled study visits or notify the research team as soon as possible if they are unable to attend.
- Missed or late-cancelled study visits may affect continued eligibility in the study, in accordance with the study protocol.
- Clinical trial visits are non-transferable and may not be substituted for routine medical or cosmetic care.
- Compensation or reimbursement, if applicable, is determined by the study protocol and sponsor.
General Notes
- Appointment time is reserved specifically for you.
- Repeated late cancellations or missed appointments may limit our ability to continue offering services.
Cosmetic and Elective (Out-of-Pocket) Services Terms
The following terms apply to all cosmetic and elective services provided by FACET Dermatology. These services are paid for directly by the patient and are not covered by OHIP.
Nature of Cosmetic and Elective Services
Cosmetic and elective services are voluntary, non-medically necessary services requested by the patient. These services may include, but are not limited to, cosmetic injectables, laser and energy-based treatments, aesthetic consultations, and procedures such as benign lesion or mole removal performed for non-medical reasons.
Cosmetic and elective services are distinct from medical dermatology care.
Cosmetic Consultations and Medical Diagnosis
Cosmetic and elective consultations are focused solely on aesthetic concerns identified by the patient.
Cosmetic consultations do not constitute a comprehensive medical dermatology assessment. A full skin examination or medical diagnosis is not performed during cosmetic or elective visits unless a separate medical dermatology appointment has been booked.
Patients who are concerned about medical skin conditions, including skin cancer or other medically significant concerns, should book a medical (OHIP-covered) appointment after obtaining the necessary referral from their family doctor or a walk-in clinic.
Professional Service, Not a Product
When purchasing a cosmetic or elective service at FACET Dermatology, patients are purchasing a professional medical and aesthetic service, not a medication, device, or product.
Fees reflect clinical expertise, assessment, treatment planning, procedure execution, follow-up care, and oversight by a board-certified dermatologist. Individual results vary and depend on factors such as anatomy, skin type, biology, healing response, and adherence to post-treatment instructions.
Clinical Oversight
All cosmetic and elective treatments offered at FACET Dermatology are reviewed or overseen by a board-certified dermatologist.
Non-physician staff do not independently diagnose medical conditions.
Outcomes and Expectations
Cosmetic and elective services do not guarantee specific outcomes. Aesthetic results vary between individuals, and patient satisfaction is subjective.
Dissatisfaction with the outcome of a cosmetic or elective treatment does not constitute grounds for a refund or repeat treatment at no cost.
Refunds, Transfers, and Expiry
Cosmetic and elective services are non-refundable after twenty-four hours from the time of purchase.
Pre-paid treatments are non-transferable and expire twelve months from the date of purchase. Unused treatments remaining after the expiry period are forfeited.
No refunds are provided for unused treatments beyond the expiry period or for dissatisfaction with treatment outcomes.
Acknowledgement
By booking or purchasing cosmetic and elective services, patients acknowledge that they have reviewed and understood these terms and agree to proceed accordingly.
Clinic Conduct, Access, and Patient Responsibilities
FACET Dermatology is committed to providing safe, respectful, and accessible care for all patients. The following guidelines outline how our clinic operates and what we ask of patients when attending appointments.
Not an Emergency Clinic and Walk-In Visits
FACET Dermatology is not an emergency or walk-in clinic.
- All visits are by appointment only.
- We are unable to accommodate walk-in visits or same-day emergency assessments.
If you are experiencing a medical emergency, please attend your nearest emergency department or urgent care centre.
Post-Procedure Concerns and Urgent Symptoms
If you have concerns following a medical or cosmetic procedure performed at FACET Dermatology:
- Please call the clinic and leave a voicemail if we are unable to answer.
- Our team will arrange the next available appointment with the dermatologist who provided your care, when appropriate.
If you believe your symptoms are urgent, worsening, or require immediate attention, including signs of infection, severe pain, or rapidly progressing symptoms, please seek care through:
- Your nearest emergency department
- A walk-in clinic
- Your family physician
Please do not attend the clinic without an appointment for urgent concerns, as we may not be able to safely assess you without proper scheduling.
Accessibility, Mobility Devices, and Service Animals
FACET Dermatology is committed to accessibility in accordance with Ontario accessibility legislation.
Mobility Devices
- Our clinic can accommodate patients using manual or powered wheelchairs.
- Due to space and safety limitations, we are unable to accommodate motorized scooters.
- Patients with specific accessibility needs are encouraged to contact the clinic in advance of their visit.
Service Animals
- Service animals are permitted in accordance with Ontario law.
- Emotional support animals, therapy animals, and pets are not permitted, except for legally recognized service animals.
- Service animals must remain under the control of their handler at all times.
Children and Accompanying Persons
- Children under the age of sixteen must be accompanied by an adult.
- Individuals other than scheduled patients may not be permitted in treatment rooms or restricted clinical areas.
- For safety reasons, patients are asked to make separate arrangements for childcare during appointments.
- Clinic staff are not able to supervise unattended children.
Wait Times
FACET Dermatology strives to run appointments on time whenever possible.
- On average, wait times do not typically exceed 30 minutes.
- However, dermatologic care can involve medically complex or unexpected findings that require additional time and attention.
- In these situations, delays may occur, and wait times may extend up to two hours.
These delays are not routine but reflect our commitment to providing thorough and appropriate care when unexpected medical issues arise. We appreciate your patience and understanding, as the same level of care would be provided to you should your visit require additional time.
Electronic Devices
To maintain a calm, respectful, and non-disruptive environment:
- Mobile phones and electronic devices must be silenced while inside the clinic.
- Patients are asked to refrain from phone calls, video calls, and audible notifications during appointments.
- Use of electronic devices should be limited to essential purposes while in patient care areas.
Recording and Photography in the Clinic
To protect the privacy and comfort of all patients and staff:
- Patients and visitors must request permission before recording or videoing any conversations, consultations, or treatments in the clinic.
- Recording or videoing without prior permission is not permitted in clinical or patient areas.
- Photography for personal reference (for example, treatment progress photos) is permitted only with consent and under protocols approved by the clinic.
- Any recording that becomes part of a patient’s medical record must be handled in accordance with privacy and record-keeping policies.
Requests to record must be made in advance or at the start of the visit, and may be approved or declined at the discretion of the clinician or clinic management.
Smoking and Vaping
Smoking and vaping are strictly prohibited inside the clinic and within the required distance from the building entrance, in accordance with Ontario law.
Parking
Patient parking is available on the street near the clinic.
- The condominium parking lot next door is private property and is not available for clinic use.
- Vehicles parked in unauthorized areas may be ticketed or towed by the property owner.
Patients are encouraged to allow extra time to find street parking prior to their appointment.
Respectful Behaviour
FACET Dermatology is committed to maintaining a safe and respectful environment for patients, staff, and physicians.
- Verbal abuse, aggressive behaviour, threats, or profane language directed toward staff or other patients will not be tolerated.
- Patients engaging in inappropriate behaviour may be asked to leave the clinic.
- In serious or repeated cases, the clinic reserves the right to terminate the patient-physician relationship.
Health Coverage and Payment Responsibility
FACET Dermatology provides medical care to patients with valid health coverage, including:
- OHIP
- Interim Federal Health Program (IFH)
- University Health Insurance Plan (UHIP)
Patients are responsible for ensuring their health coverage is valid and active at the time of their appointment.
- If coverage is expired, invalid, or cannot be verified, the visit will be billed directly to the patient.
- Payment will be required before or at the time of the appointment.
Cosmetic and elective services are not covered by OHIP and are always paid out of pocket.
